📍 Position Summary

The Receptionist / Front Desk Officer serves as the first point of contact for visitors, clients, and staff. This role is responsible for managing front desk operations, ensuring a welcoming environment, and providing administrative support to enhance organizational efficiency.

🧩 Key Responsibilities

  • Front Desk Management
    • Greet and assist visitors in a courteous and professional manner.
    • Answer and direct phone calls using a multi-line system.
    • Maintain visitor logs and issue visitor passes.
  • Administrative Support
    • Handle incoming and outgoing correspondence (emails, mail, packages).
    • Schedule appointments and manage meeting room bookings.
    • Assist with data entry, filing, and document preparation.
  • Customer Service
    • Respond to inquiries and provide accurate information about the organization.
    • Resolve minor complaints or escalate issues to appropriate departments.
  • Office Coordination
    • Monitor and maintain office supplies and inventory.
    • Coordinate with housekeeping and security for front office upkeep.
    • Support HR or admin teams with onboarding or event logistics.

🎯 Qualifications & Skills

Requirement Details
Education Minimum: High School Diploma; Preferred: Bachelor’s in Business/Admin
Experience 1–3 years in a similar role (reception, customer service, admin)
Communication Excellent verbal and written communication skills
Technical Skills Proficiency in MS Office (Word, Excel, Outlook); familiarity with PBX
Personal Traits Polite, organized, punctual, and professional appearance
Language Fluency in English and Urdu (additional languages a plus)

🕒 Working Hours & Environment

  • Schedule: Full-time, typically 9 AM – 5 PM (may vary by organization)
  • Location: On-site front desk or reception area
